Cancelling and postponing a show

Plans change. From the show page, band admins and

venue managers can cancel or postpone under **Manage this show

→ Cancel or postpone this show**. Everyone who needs to know finds out

— in the app's notification center (MusicXen has no email; it's

in-app only).

Cancelling

Pick the reason that fits (band cancelled, venue cancelled, weather,

low ticket sales, double-booked, force majeure, other) and confirm.

What happens:

  1. The show is marked cancelled with the reason shown in a banner.
  2. The venue's calendar slot is freed for someone else.
  3. The other side (band or venue) is notified.
  4. Every RSVP — going and interested — gets a cancellation

notification.

  1. Bands on the venue's backup list whose date or genre matches get

a backup call-out, so the opening goes to people who volunteered

to fill it.

Postponing

Enter the new date and confirm. The old date is cancelled with the

reason "Postponed (new date announced)" and a brand-new show page is

created on the new date, carrying over the venue, prices, ticket link,

age info, doors time, notes, and the full lineup.

  • The cancelled page banners a link to the new date's page.
  • RSVPs, the band side, and the venue side are notified with a link to

the new date. (RSVPs carry over — no re-RSVP needed.)

  • The old date's backup bands get the refill call-out.
  • The replacement starts at the inquiry stage of the booking

pipeline, so both sides explicitly re-confirm the new date.

Tips

  • Postpone beats cancel-then-rebook: the lineup and details carry over

and fans follow the link instead of finding a dead page.

  • The new date must be after the old one.

Troubleshooting

  • I can't see the cancel section. Band admins, venue managers,

and site admins only.

  • A fan says they weren't notified. Notifications are in-app only

(no email exists). They need to check the bell / Notifications page

— and they only get the notice if they RSVP'd.

  • Backup bands weren't called. Call-outs only fire when the show

had a real venue and the cancellation wasn't a venue decline.
